About This Role

Position Summary

The Recruiting & Administrative Support Coordinator supports Quicksilver’s recruiting and onboarding needs across the Company. This position manages job postings, reviews applications, screens and interviews candidates, coordinates pre-employment requirements, and helps new employees successfully begin their employment with Quicksilver.

Recruiting and onboarding are the primary focus of this position. When those responsibilities allow, the Coordinator also provides administrative and Customer Support assistance for the Denver office. This position requires recruiting or human resources experience, strong communication and judgment, excellent organization, and consistent follow-through.

Primary Responsibilities

Recruiting and Onboarding

  • Work with Management to understand staffing needs, open positions, qualifications, schedules, and hiring priorities.
  • Prepare, post, and maintain approved job advertisements.
  • Review applications, resumes, work histories, driving qualifications, and other candidate information.
  • Contact qualified applicants, conduct phone screens and interviews, and coordinate interviews with hiring managers.
  • Evaluate candidates based on their experience, communication, work history, availability, qualifications, and the requirements of the position.
  • Identify and communicate concerns, inconsistencies, or missing information before hiring decisions are made.
  • Keep candidates informed and maintain an organized pipeline of active applicants.
  • Maintain accurate applicant stages, notes, interview results, and hiring information in Paycom and other Company systems.
  • Request and track background checks, motor vehicle records, certifications, and other pre-employment requirements.
  • Prepare approved offer information and coordinate pre-employment appointments, document collection, and start dates.
  • Prepare onboarding paperwork and guide new employees through required forms, policies, and Company processes.
  • Coordinate orientation, training schedules, uniforms, supplies, equipment, system access, and first-day instructions.
  • Maintain accurate employee records and track completion of onboarding requirements.
  • Follow up with new employees during their first weeks and communicate concerns or additional training needs to Management.
  • Provide Management with regular updates regarding open positions, applicants, interviews, pending requirements, and hiring obstacles.
  • Assist with recruiting and onboarding for other Quicksilver locations as needed.

Administrative and Customer Support

When recruiting and onboarding responsibilities allow, the Coordinator will also:

  • Answer incoming calls, enter orders, assist customers, and provide routine status updates.
  • Review order information for completeness and document customer communications and special instructions.
  • Direct operational questions, service concerns, and pricing requests to the appropriate team member.
  • Greet applicants, employees, vendors, and visitors.
  • Monitor assigned email inboxes and route requests to the appropriate department.
  • Prepare, scan, file, and distribute documents.
  • Maintain recruiting, onboarding, uniform, driver, and general office supplies.
  • Assist with meetings, training sessions, reports, audits, data entry, and other office projects.
  • Provide additional administrative and Customer Support coverage as needed.
Authority and Approval

The Recruiting & Administrative Support Coordinator is authorized to manage routine recruiting and onboarding activity within approved Company processes. This includes posting approved positions, reviewing and interviewing applicants, making hiring recommendations, requesting required records, coordinating onboarding, and communicating with candidates and new employees.

Management approval is required before creating or changing a position, modifying qualifications or compensation, extending an employment offer, making a final hiring decision, approving an exception to hiring requirements, changing vendors or Company processes, or committing the Company to an unapproved expense.

Requirements

Minimum Qualifications
  • High school diploma or GED.
  • At least two years of experience in recruiting, staffing, talent acquisition, human resources, or a related position.
  • Experience reviewing applications, screening and interviewing candidates, and coordinating hiring and onboarding activity.
  • Strong written, telephone, and in-person communication skills.
  • Strong organization, attention to detail, and follow-through.
  • Good judgment and the ability to recognize and communicate concerns.
  • Ability to manage multiple open positions, deadlines, and changing priorities.
  • Ability to handle applicant, employee, customer, and Company information confidentially.
  • Proficiency with Windows-based programs, email, and standard office software.
  • Dependable and punctual attendance.
  • Ability to read, write, and communicate effectively in English.
  • Ability to pass required federal and county background checks.
Preferred Qualifications
  • Experience using Paycom or another applicant tracking or human resources system.
  • Experience recruiting drivers, warehouse employees, logistics employees, or other high-volume positions.
  • Experience reviewing motor vehicle records, background checks, certifications, or other regulated hiring requirements.
  • Experience working in transportation, logistics, staffing, or another time-sensitive service business.
  • Experience supporting recruiting or onboarding for multiple locations.
